Refund Policy

Effective Aug. 1, 2005

Tuition

Any student wishing to withdraw from one or more classes must obtain written approval from the Viterbo University Registrar's Office. The date on which such written approval is granted by the Registrar determines the amount of tuition adjustment. All requests to withdraw must be in writing and must be made in the Viterbo University Registrar's Office. Any student who withdraws from any or all classes shall receive a tuition adjustment, and any such adjustment will be placed on the student's account according to the following schedule: (Note that the refund formula indicated below applies specifically to 16-week courses. This refund formula is modified proportionally based on length of course for non-16 week courses.)

  • If student withdraws from classes before or during week 1, refund equals 100% of total tuition
  • If student withdraws from classes during weeks 2-4, refund equals 50% of total tuition
  • If student withdraws from classes during weeks 5-8, refund equals 25% of total tuition
  • If student withdraws from classes during weeks 9-16, refund equals 0% of total tuition

 

Fees and Bookstore Charges

Fees are non-refundable.

Bookstore charges are non-refundable after the first week of each semester.

Room Charges

A student signing a Viterbo University housing contract commits to a housing term of one year, with room charges posted at the beginning of the fall and spring semesters. Room charge adjustments are made, provided appropriate, after approval by an Area Coordinator, the Director of Student Life, or the Vice President of Student Affairs. Any such adjustment will be placed on the student's account. All requests for adjustment must be via submission of a designated request form. Please note, a housing freeze is in effect for the first three weeks of each semester, during which time no room changes will be approved, except for crisis situations.

A student who changes residences during the fall or spring semesters will have room charge adjustments placed on the student's account. These adjustments will be calculated on a prorated weekly basis.

If a student withdraws from the University, refunds will be prorated for the remaining weeks in the semester, based on the Monday immediately following the withdrawal date.

Meal Plan Charges

All residents are required to carry a meal plan for the entire academic year. Meal plans can be adjusted for current students during the first two weeks of each semester via submission of a designated request form. Meal plan charge adjustments are calculated on a prorated weekly basis. Any such adjustment will be placed on the student's account. 

If a student withdraws from the University, refunds will be prorated for the remaining weeks in the semester, based on the Monday immediately following the withdrawal date.

Financial Aid

Financial Aid will be refunded to the various federal, state, and institution sources based on regulations mandated by the United States Department of Education. To inquire as to the order in which the financial aid is to be refunded, contact the Viterbo University Financial Aid Office. If a credit balance exists on the student's account once all adjustments have been made, the credit balance will be refunded to the student.

A parent can authorize a refund check associated with a Parent PLUS Loan to be issued in the name of the student. Please have the parent complete the following form, being sure to clearly identify the appropriate semesters, and return it to the Business Office.
